JOB DESCRIPTION

Key role objective

The post holder will be a key person in administering the Human Resources and Payroll functions of the business. The HR & Payroll Administrator will also assist the Management Team in the day-to-day administrative work and general office duties.

Office Manager

Key areas of responsibility

 

HR Administrator

  • Manage the recruitment process and candidate selection strategies– this may include writing job descriptions, preparing interview questions and application forms, conducting first-round interviews and phone screenings etc.
  • Ensure all required documentation is issued to, and received by, new employees. Run onboarding inductions with each new addition to staff
  • Maintenance of personnel records, ensure old records are safely archived/destroyed - compliant with GDPR standards
  • Schedule necessary training courses and update the tracking matrix
  • Continuously monitor and review HR policies, and staff handbook. Implement changes where necessary to ensure compliance with relevant regulations and inform managers & employees
  • HR support for international travel/placements (work permits/visas)
  • Maintain vacation and sickness records
  • Administrate benefits scheme for all staff not site based
  • Oversee rollout of company pension plan, maintenance, & Opt-In arrangements
  • Complete pre-qualification documents for contractors requiring HR information

Payroll Administrator

  • Responsible for timesheet accuracy and timesheets approval process via site records
  • Run weekly and monthly payroll (Payworks)
  • Apply appropriate pay deductions/accruals to payroll i.e. union dues
  • Complete ROEs and annual returns (T4s)
  • Oversee payment calculations for contributions to the unions

Office Administrator

  • Liaise with suppliers, clients, and contractors
  • Book flights and accommodations for staff
  • Upload and file documents if needed
  • Order supplies for the office and PPE room
  • Assist with transactional accounting from time to time

Qualifications & Experience

A motivated and hardworking individual with good written and communication skills is essential. Minimum 5 years mixed Payroll and HR experience is essential.

  • Excellent verbal, interpersonal and written communication skills - the ability to communicate effectively to all employees with sometimes sensitive information is an essential requirement
  • Proficient in Microsoft Office suite of products (predominantly Word and Excel) Capability to analyse data in excel is important

Working Conditions

The role is head office based. Hours are 08:00 to 17:00, Monday to Friday, with one-hour unpaid lunch-break each day.

QUALIFICATIONS

University - Bachelor's Degree/3-4 Year Degree
