JOB DESCRIPTION

This individual will supervise operational and administrative aspects of nursing and receptionist staff in all duties relevant to the operation of Medical Arts Physicians including satellite offices.  When the incumbent does not hold a State of Illinois Nursing License, all clinical activities will be supervised by the Senior Nursing Officer. To assist in other areas of the medical complex as indicated.

JOB DUTIES: The Director of Medical Arts duties shall include but not be limited to:

1. Supervise the schedule of all staff (nurses and receptionists), including satellite offices.  This includes:  vacation schedules, sick leave, and delegation of duties, agency when indicated, and change in personnel or job assignments.   
2.  Conduct 21 day, 30 day, 90 day and annual performance evaluations on all office staff members.  Provide appropriate counseling, corrective action and performance improvement plans when indicated.
3. Oversee patient scheduling to ensure efficiency working under physician specific and approved guidelines.
4. Develop and administrate annual budgets for each office location completing monthly variance reports as per facility policy
5. Ensure all supplies (office and medical) are ordered and stocked as requested and needed.  

6. Ensure service and maintenance of all modalities, machines and/or software is up to date and appropriate.  

7. Ensure professional, efficient medical care for patients by all Medical Arts staff members.

8. Ensure staff is providing adequate staffing and nurses’ services for all consulting physicians (i.e. Urology, Podiatry, Nephrology, and Cardiology.) Furthermore they will maintain ongoing communication with consulting physicians and their staff in re: service, testing orders and schedule 

9. Maintain and continually update Medical Arts policy and procedure manual in compliance with HMC policy and procedure codes.  To enforce all codes with Medical Arts staff.

10. Schedule and organize monthly meeting with Medical Arts staff in addition to monthly rounding with staff.  Encourage individual accountability and responsibility.

11. Attend Department Head meetings and all other meetings as indicated.  Keep staff informed of any changes that may occur in policies, routines, or schedules.

12. Ensure forms sent to physicians by insurance companies, disability and other such companies are completed and returned in timely and efficiently.   Send charges and return form in appropriate length of time.

13. Analyze patient satisfaction survey metrics and respond accordingly.  

14. Ensure delivery of service meets the needs of patients, staff, physicians, and other HMC departments.  

15. Participate in on-going quality assurance studies designated by quality assurance director.

16. Maintain statistical data related to office encounters for all sites.  

17. Ensure that approval and pre-certification for insurance for surgery and other outpatient testing when indicated.

18. Ensure accurate and complete orders are sent to admitting department for outpatient testing and surgeries. 

19. Provide monthly staff education and yearly nursing competencies for all clinical staff.

21. Other special projects, duties or tasks as assigned by Management.

REQUIREMENTS: This employee will possess an RN or BSN and have clinical management experience.  The employee must have the ability to understand the goals of the practice and work to obtain these goals both independently and with the direction of the physician partners.  The employee should make continuous efforts to stay current of any changes in the healthcare field that may impact the practice.  These changes include regulation changes as well as new technology that may enhance practice operations.  This employee should have the ability to relate well to patients, physicians, employees, and other professionals.  This employee must be dedicated to the vision and goals of the practice.  This employee must have the ability to remain calm and exhibit tact in stressful and/r delicate situations.  The employee must have the ability to handle confidential issues with discretion.  Read, write, speak and understand English.  College Degree and State of Illinois Nursing License preferred, when position is held by a Nurse.

QUALIFICATIONS

Qualifications of the Medical Arts Director of Nursing:
-RN or BSN is required 
-State of Illinois Nursing License is preferred
-Previous managerial experience in preferred in a healthcare setting

Education:
University - Bachelor's Degree/3-4 Year Degree
