Job Summary

 

The Proposal Manager plays a critical role in performing all tasks associated with the proposal process including: creation, monitoring and submission of bid proposals, managing all related files, contacts lists, databases and material inventories. As part of the Sales team, the successful candidate will use their superior analytical and creative skills to  manage timelines, gather information, collaborate with technical, management and production staff to plan, develop and produce winning proposals in response to request for Proposals (RFPs). Proposal Manager will be working in a dynamic and fast-growing environment where deadlines are tight, priorities are constantly changing and high standards are to be met.

 

Primary Responsibilities

 

  • Develop a detailed Project Plan to prepare for all aspects of government bids for each RFP
  • Review proposal requirements & prepare schedule to facilitate the proposal process
  • Communicate and coordinate with others to gather information in accordance with RFP requirements, understanding and outlining bid requirements
  • Manage the schedule of bid submission packages and the organization of proposal content into cohesive, graphics intensive documents
  • Organize all written materials supplied by support groups including organization of sections, tables, exhibits and attachments
  • Write and edit sections of proposals, complete document formatting, accuracy of content and proofreading
  • Maintain an up-to-date bid schedule and tracker and follow up on bid results
  • Develop and maintain templates and standards for all proposals
  • Serve as primary point of contact between the proposal team
  • Undertake document printing, binding of bid package and distribution of proposal responses
  • Add to the knowledge base of reusable content by compiling an update of project content

  • Create and manage proposal templates and content library
  • 50% of time spent on coordination of RFP’s
  • 30% of time spent on delivery of presentations to clients
  • 20% of time spent on enhancing the RFP process by creating and developing templates and standards for all future proposals
  • Comply with Veridos /G+D Environmental, Health & Safety policies, procedures and report any Environmental, Health & Safety hazards, incidents and concerns to the immediate supervisor/manager. Management will ensure employees are provided with job specific Environmental, Health & Safety information, training and also ensure employees follow workplace Health & Safety policies and procedures.

 

 

QUALIFICATIONS

 

Qualifications, Experience and Educational Requirements

 

Work Experience:

 

  • 3 years of relevant professional experience in coordination of RFP/BID proposals

 

Skills and Competencies:

 

  • Technical aptitude and comfort with learning and demonstrating new technology quickly
  • Experience with RFP/BID proposals and process in the government sector would be an asset
  • Proficiency with MS Office, Adobe InDesign – AutoCAD, Adobe Illustrator and Photoshop are an asset
  • Excellent organizational skills, attention to detail, including ability to prioritize and handle competing tasks with high quality standards and on-time delivery
  • Thrives under the pressure of meeting urgent short turnaround deadlines
  • Resourceful and self-directed
  • Excellent verbal and written communication skills, including superior editing and proofreading abilities
  • Ability to cultivate and maintain relationships with a broad range of employees
  • Must be confident in leading others through the document development process and in asserting that proposals meet all prospective-client requirements

 

Education:

 

  • Post-secondary education in Business Administration, Journalism, Marketing , Communications or similar discipline
